Calendly integration

The Calendly integration connects your Calendly account to Hydra so your bot can share your booking link in a chat once it has qualified a visitor, and so Hydra automatically records when a demo gets booked. The booking itself still happens on Calendly as normal, the visitor's calendar link works exactly the way it always has.

The setting lives at Settings → Integrations, on the Calendly card.

Connecting your account

1. Go to Settings → Integrations.
2. Find the Calendly card and click Connect Calendly.
3. You'll be sent to Calendly to authorize the connection.
4. Once you approve, Calendly returns you to Hydra and the card shows your scheduling link and a Disconnect option.

That's the whole setup. After it's connected, the bot can start sharing your link without any further configuration.

What the bot does after connecting

Once Calendly is connected, the bot shares your Calendly scheduling link in the chat when it has qualified a visitor or the visitor is ready to book. The link is your normal Calendly scheduling URL, so anyone in the chat can open it and book a time the same way they would from any other place you share it.

The bot decides when to share the link based on how the conversation is going (a successful qualification, or a visitor signalling they want to book). You don't pick the moment per conversation, the bot surfaces the link when booking is the natural next step.

Booking auto-capture

This is the part worth reading closely, because it depends on your Calendly plan.

When a visitor actually books a time, Hydra records it:

• The conversation is marked as having a booked demo.
• A Demo booked entry appears on the lead's timeline.

Auto-capture relies on Calendly webhooks, and Calendly only sends webhooks on its paid plans (Calendly's Standard plan or higher). So:

• On a paid Calendly plan (Standard or higher): bookings are recorded in Hydra automatically. You get the conversation flag and the timeline entry without doing anything.
• On Calendly's free plan: the bot will still share your link and visitors can still book, but those bookings won't be recorded automatically in Hydra. You'll need to track them however you do today.

When auto-capture is off because the connected account is on the free plan, the Calendly card on the Integrations page shows a notice explaining why.

Disconnecting

To turn the integration off, click Disconnect on the Calendly card. Once disconnected:

• The bot stops sharing your Calendly link in chats.
• Booking capture stops, so no new Demo booked entries are recorded.

You can reconnect later by going through the Connect Calendly flow again.

Frequently asked questions

Why doesn't the Calendly card show up on my Integrations page? If the card says Calendly isn't available or enabled on your workspace, the integration hasn't been turned on for your account yet. Contact support to have it enabled.

Why aren't my bookings showing up as "Demo booked" on the lead? Auto-capture needs Calendly webhooks, which only fire on Calendly's paid plans (Standard or higher). If the connected account is on the free plan, bookings won't be recorded automatically. The Calendly card shows a notice when this is the case. Upgrading the connected Calendly account to a paid plan turns auto-capture on.

Can I control when the bot shares my link? Not per conversation. The bot shares your scheduling link when it has qualified a visitor or the visitor is ready to book. The booking link works for everyone once it's shared.

Does the bot booking the demo mean I'm double-billed by Calendly? No. The booking happens on Calendly using your normal scheduling link, so it counts as a regular Calendly booking on your account. Hydra just records that it happened.

What happens to past "Demo booked" entries if I disconnect Calendly? Disconnecting stops the bot from sharing your link and stops new bookings from being recorded. Timeline entries that were already captured stay on the lead as a historical record.
